What the AGM Is

The Annual General Meeting is how the Society accounts for its year and plans the next one. It’s a straightforward meeting — not long, not formal in tone — but it’s where the important decisions happen.

Our constitution requires that we hold the AGM within 120 days of the end of our fiscal year (October 31), and that every member has the opportunity to attend and participate.

What We’ll Cover

At the meeting, the Board will:

  • Present a report on the year’s activities and accomplishments
  • Share financial statements for the previous fiscal year
  • Recommend and hold elections for Board members whose terms are ending
  • Appoint auditors for the year ahead
  • Consider any proposed amendments to the bylaws or constitution
  • Take questions and discussion from members

It usually takes an hour or two. Coffee and treats provided.

Who Can Attend

All members of the Amherst Island Agricultural Society are welcome and encouraged to attend.

Who can vote:

  • Regular members have full voting rights on most matters
  • Regular (Unrestricted) members also vote on motions involving Society land and property
  • Associate and Junior members may attend and participate in discussion, but do not vote on motions or director elections

Only members who held membership during the previous fiscal year are eligible to vote at the AGM.

Not a member yet? Join here → Membership is $20/person or $40/family per year. If you join before the AGM, you’re welcome to attend — note that voting eligibility requires membership during the fiscal year just ended.

Interested in Serving on the Board

Each year, roughly one-third of Board seats come up for election. The Board consists of nine directors, each serving three-year terms.

If you’re interested in putting your name forward, reach out to the Nominating Committee ahead of the meeting at a.i.ag.society@gmail.com. The committee will confirm eligibility and bring a recommended slate to the meeting.

Directors must be Regular members of the Society and cannot be bankrupts. Full eligibility requirements are in the Society Constitution →.

Getting Here

Amherst Island is a short ferry ride from Millhaven, Ontario. Once you’re on the Island, the fairgrounds are in the village of Stella.
