About the Pavilion

Opened June 14, 2025, the Pavilion is a 42′ x 72′ timber-frame structure on an engineered concrete slab — open-span, weatherproof, and flexible enough to host weddings, celebrations, concerts, markets, and gatherings of all kinds.

Rates are set to help offset operating costs (electricity, portapotty, grounds maintenance) and are reviewed annually by the Board.

Equipment Rental

Equipment rentals are available first to accompany on-site rentals. Some equipment may be rented and used off-site, depending on availability.

A few practical notes:

  • The BBQ must be cleaned by the rental group after use.
  • Renters must provide their own propane tank.
  • All equipment must be returned in good condition. Missing or damaged items are billed to the renter.

Booking Conditions

Booking timeline: Bookings must be made at least two weeks in advance.

Payment: Full payment is due at the time of booking. The Society may cancel a booking if payment isn’t received.

Refunds: Refunds are provided only if written cancellation notice is received at least one week before the event, or if the Society cancels.

Insurance:

  • Non-profit groups must provide a certificate of insurance naming the Amherst Island Agricultural Society as additional insured, minimum $2 million.
  • Private events may be required to provide proof of insurance at the Society’s discretion.
  • Any event where alcohol is served or consumed requires both a Special Occasion Permit (SOP) and an insurance certificate naming the Society.
  • Vendors and rental groups are encouraged to seek their own advice on third-party liability coverage.

Cleanup: Renters are responsible for full cleanup, including removal of garbage from the site. Bins and bags are provided; Township garbage tags are not.

Damage: Renters are liable for any damage or extra cleaning costs.

Camping: Overnight camping is not permitted unless approved in advance by the Board.

Open fires: Not permitted without prior approval.

Society priority: Amherst Island Agricultural Society events have first priority. Otherwise, rentals are first-come, first-served.

Society discretion: The Agricultural Society may deny a rental request or cancel a booking for any reason.

Casual Use for Members

Members of the Agricultural Society are welcome to use the fairgrounds and pavilion for drop-in casual use any time the space isn’t booked for an event. Picnic with friends, play frisbee, take a break from a bike ride, play a game of cards under cover — all welcome.

Organized or scheduled use through a group does require a booking.

How to Book

  1. Contact the rental agent to check availability.
  2. Submit a Rental Request Form to the Society.
  3. Confirm availability with the rental agent.
  4. Sign the Rental Agreement, provide any required insurance documentation, and pay applicable fees.
  5. Follow site rules as outlined in the agreement.
